Smartizen Kids Summer Camp: Safety & Emergency Protocol Guide for Parents


1. Ensuring Student Safety During the Day

At Smartizen, your child’s safety is our highest priority. Our daily operations are structured to create a safe, supervised, and nurturing environment.

  • Staff-to-Camper Ratios:

    • Ages 4–6: 1 staff member per 8 children

    • Ages 6–8: 1 staff member per 10 children

  • Screened and Trained Staff:

    • All staff 18+ must pass a police Vulnerable Sector Check

    • All team members are certified in Standard First Aid and CPR-C

  • Arrival & Dismissal Procedures:

    • Controlled entry and exit points (at the second floor of our office)

    • Children are released only to pre-authorized adults with ID verification

  • Safe Facilities:

    • Implementing controlled access to the premises to prevent unauthorized entry
    • Daily safety inspections of play and learning areas

    • Child-safe equipment and materials


2. Emergency Protocols

Smartizen follows a well-developed emergency response plan, reviewed annually and practiced through drills.

  • Types of Emergencies Covered:

    • Fire

    • Lockdown (security threat nearby)

    • Shelter-in-Place (weather or environmental hazard)

    • Medical emergencies

    • Lost child response

  • Our Emergency Actions Include:

    • Fire Emergencies: Evacuate the building promptly and gather at designated assembly points (at the left corner of the building facing Bridge Street)

    • Lockdowns: Secure classrooms, turn off lights, and maintain silence until the situation is resolved

    • Ensuring all children are accounted for

    • Notifying emergency services if required

    • Parent/guardian notification after immediate safety is secured

  • Drills and Preparedness:

    • Regular evacuation and lockdown drills with children

    • Staff review emergency protocols monthly


3. Handling Minor Injuries and Illnesses

We understand that bumps and sniffles are part of being a kid. Here’s how we manage them:

  • First Aid Care:

    • Administered by trained staff using approved kits available on-site

    • Cuts, bruises, and insect bites are treated and monitored

  • Incident Reporting:

    • All injuries and first aid responses are documented

    • Parents/guardians receive a written or verbal report the same day

  • Sick Child Procedure:

    • If a child displays symptoms of illness, they are separated in a quiet, supervised area

    • Monitor the child for any changes and decide parents are contacted for immediate pick-up

    • COVID or communicable illness precautions may apply based on public health direction

  • Allergy & Medical Conditions:

    • Children with known allergies or conditions have Individual Plans of Care on file

    • All staff are trained in EpiPen use and emergency response
